If your employer uses Vantage Workforce, this page is for you. It explains in plain terms what your employer can see, when your location is recorded, and who to ask about your information.
1.Your employer runs the workspace
Your employer set up its workspace, invited you, and decides which tools are on, what is collected, and who can see it. For the information in that workspace, your employer is in charge (the “controller”), and Vantage Enterprises, LLC handles it for them.
That means your employer’s own policies and the employment laws where you work apply, and your employer is the right place to start with a question or request about your records. This notice explains how the Service works so you know what to expect. It does not replace anything your employer tells you.
2.What your employer can see
What people see follows their role, as your employer sets it up:
- Coworkers see your name, job title, and the Directory fields your employer makes visible, your shifts on a published schedule, whether you are online or on shift, and what you post in shared channels and feeds.
- Your manager also sees your hours and breaks, where you clocked in and out, your time off requests, your forms and tasks, and your training progress, for the people and sites they manage.
- Admins and the owner can see the whole workspace, including your profile, and, if your employer collects them, your pay rate and the bank details and tax forms you give in onboarding.
Direct messages and private groups in Team Chat are visible to the people in them. An admin can export a conversation; each export is recorded. Your employer can also see what Ask AI and Company Bot did for you, the automation runs that involved you, and the questions Company Bot could not answer.
When someone in a chat has picked a language to read in, your messages there are translated by AI for them, and the translation is kept with your message. Anyone can see the original, and you can pick your own language with the translate button in Team Chat.
3.If your employer runs payroll here
Payroll is not available yet. When your employer turns it on, your pay is processed by Check Technologies, Inc. (“Check”), which receives what it needs to pay you and to file and pay payroll taxes: your name, home address, Social Security number, date of birth, bank details for direct deposit, pay and hours, tax withholding choices, and tax forms. Check handles that information under its own Privacy Policy.
If your employer also offers a 401(k), workers’ compensation insurance, or benefits through Payroll, the licensed partner that provides each one receives what it needs, under its own terms. Questions about your pay start with your employer.
4.When your location is recorded
Your location is saved only when you clock in, clock out, or move between sites in Time Clock, and when a form or task asks for a location stamp as you submit it. The app reads your location while the clock screen is open, to show whether you are at your site, but saves it only with a punch.
The Service does not follow you between punches or in the background. Your phone or browser asks for permission first, and you can turn location off; your employer decides whether a punch without a location is accepted.
5.Messages and steps that run on their own
Your employer can set up automations that send you chat messages, app notifications, and emails at your work address. Automations can also take steps about your work, such as asking you to cover an open shift, assigning you training, or giving you a task, using the access of the person at your employer who set them up.
Company Bot does something for you only when you ask it to and then tap Confirm, and only what you could do yourself in the app.
6.What the Service never does
- It does not sell your information or show you ads.
- It does not record your screen, your keystrokes, or your phone’s apps.
- It does not hire, fire, discipline, rate, or set the pay of anyone. AI features suggest; a person decides. Your employer can set up automations that run on their own when something happens, such as a reminder when you have not clocked out, or asking you to cover an open shift; your employer chooses what they do. See AI Transparency.
- It does not use your workspace’s content to train AI models.
7.Your choices in the app
- You can update your own phone, address, emergency contact, skills, languages, and birthday in your profile.
- You can ask to fix a time entry or a day with Missed a punch or Redo this day; your manager decides, and the record keeps both versions.
- You can turn notifications from each tool on or off in Settings.
- You can confirm or cancel anything Company Bot offers to do for you, and undo it where the app allows.
- You can disconnect any outside app you connected, such as a calendar, in Settings, Integrations.
8.Getting a copy, fixing, or deleting your data
Ask your employer first; they control your workspace records and may need to keep some of them, such as timesheets, for the time employment law requires. If you write to us at [email protected] about workspace data, we will pass your request to your employer and help them answer it. For your own sign-in account, write to us directly. Our Privacy Policy explains your rights.
9.When you leave
When you leave the company, your employer can suspend your account, which signs you out everywhere at once. Your records stay in the workspace for your employer, as employment law usually requires, until your employer deletes them or the workspace closes.
